This handbook has been compiled to familiarize you with the day-to-day operation, management, structure, and emergency procedures of our condominium complex. We recommend you read this information thoroughly and keep it for future reference.

In order to maintain the highest possible quality of living in Peabody Terrace, we ask that all residents, both owners and renters, abide by the outlined procedures and guidelines. It is only with the cooperation of each and every resident that this goal can be achieved.

Enclosed in this handbook is a list of key phone numbers for emergencies. It is suggested that you keep these numbers in a convenient location and update them as changes occur.

Property Management

The Management Board of Peabody Terrace has engaged the services of Eastport Real Estate Services, 318 Bear Hill Road, Waltham, MA 02154, as its managing agent. Our representative at Eastport is Susan Willis, 781-890-5855, ext. 112. Eastport works under the direction of the Board to carry out the actual management and maintenance responsibilities, which include maintenance of common areas and restoration projects as needed, etc.

Peabody Terrace has an on-site superintendent under Eastport's supervision. He lives in unit 14 and has an office located on the basement floor. His work hours are 7:30AM - 3:30PM. Please contact him only during those hours unless it is an emergency. If not in his office, his whereabouts will be noted on the board outside his door. Bring your questions/problems to him and he will relay them to Eastport when necessary. If you have an emergency after business hours that requires immediate attention and you cannot reach the superintendent, Eastport has an emergency number, 781-239-1967. It connects to an answering service, which will contact the property manager or the on-call Eastport staff person who will contact you directly. This service is available 24 hours a day, seven days a week and is for emergencies only. Please be sure to leave your name, address, and unit number, and a brief description of the problem.

Initial Occupancy

Leases: The minimum lease term for units at Peabody Terrace Condominium is one year. A signed copy of each lease must be submitted to Eastport on or before the date of initial occupancy.

Moving/Deliveries: There is a freight/service entrance to the building on the basement level at the Devotion Street end. All furniture and appliance deliveries, and all moves (in our out) should be made through that door, or the other basement level doors, never through the front door of the building. oving in or out must take place between 9AM and 5PM. Please arrange moves with Eastport or the superintendent so that he can pad the elevator beforehand. Use only the padded elevator - do not tie up both elevators. Unit owners will be assessed a $50 fee for each move into or out of their units.

Keys: Keys should be obtained from the previous owner, or for renters from the landlord. Be sure to receive a unit door key, lobby key (for the front and back doors) and mailbox key. (A separate key is required for the storage locker rooms if your unit has a locker.) Each unit is issued two lobby keys. Additional ones can be purchased from the management office, if needed. The key deposit fee will be refunded when the key is returned.

Mailbox: The postal service will not deliver mail to your unit if your name is not inside the mailbox. As soon as you move in, please contact the management office (use unit registration form) so that a nameplate can be ordered.

TV Reception: The building is equipped with a TV master antenna system for local channels only.

Storage: There are storage lockers in the basement and sub-basement, which are assigned by the superintendent.

Laundry Facilities: Washers and dryers are located on the basement level. They are operated by a card system and cost $1.25 per wash or dry. Cards may be obtained from the superintendent.

Parking: Parking spaces are part of the common area and are not automatically assigned to a unit. They may be leased by owners, renters, or others at rates set by the Board. Priority for one space is given first to owners and then to renters. If additional spaces are available, priority for a second space is given to owners then renters; any remaining spaces are leased to outsiders. Leases can be arranged with the superintendent. Guest parking is along the back fence only and limited to three days a week. Do not park in any spaces other than your own or let your guests do so. Guests must leave information on the windshield or dashboard of their vehicles identifying the unit they are visiting. Illegally parked cars left along the fences will be towed. All Massachusetts driving regulations must be observed in the driveways and parking areas. Please do not speed.

Unit Registration Form: It is extremely important that you complete a unit registration form and return it to the management office as soon as possible. Please include the names of the unit residents, phone numbers (home and business), emergency contacts, and name to be placed on the mailbox and intercom. Your name will not be added to the building directory, and no parking space will be assigned, until you have done this.

Rules and Regulations

The following are Rules and Regulations adopted by the Management Board in accordance with the condo's Bylaws to make living in Peabody Terrace a safe and pleasant experience for everyone. They apply to all residents, owners, renters, as well as anyone working for them. When owners sell their units, they are required to pass on to the new owners copies of the Bylaws and Rules and Regulations. It is the responsibility of unit owners to give these rules to their tenants with the understanding that conformity with these rules and regulations is a condition of their leases. Owners are responsible for damage done by their tenants to other units or common areas. For this reason, owners are advised to have the appropriate insurance coverage. Effective February 1, 2006, owners will be fined $100 per infraction for failure to follow (or to have their tenants follow) these rules. If the Board determines that these rules are still not being followed, it will impose a new system of fines.

While these regulations are not designed to interfere with the normal lifestyle of individual residents, because this is a Condominium Association, the individuals' rights are honored relative to their effect upon the entire condominium community.

Please take the time to familiarize yourself with both the specific content and the spirit of these guidelines, as you are responsible for compliance with them.

Noise

The walls and floors in this building are not soundproof so sound travels easily from unit to unit. Therefore, please, no noise after 11PM. Keep TVs, stereos, radios, and all other devices at a low volume. No noise, such as loud conversations, running, or playing, in the hallway at any time. Remove heels after 10PM if your floors are uncarpeted. Be careful not to slam doors. No honking automobile horns or loud conversations in the rear parking areas in the early morning or late in the evening.

Common Areas

Halls and stairways are not to be used for storage. No boots, rubbers, or mats are to be left in the halls.

The lobby has been furnished with couches and chairs for residents to use for visiting, quiet conversations, etc. There shall be no sleeping on the couches.

No eating is permitted in any of the common areas unless there is a specific function approved by the Board where food is served. If you drop or spill something in the common area, please clean it up right away. If it is difficult to remove, contact the Superintendent or Eastport Management so that the problem can be addressed before any permanent damage is done. Please keep in mind that the resident Superintendent is here to maintain the building, not to pick up after residents' accidents. Everyone has a responsibility to keep the building clean so that we can all feel good about living here.

Turn off lights in the laundry, mail room, and trash rooms when leaving them. Remember, the common area electric bill is shared by all owners.

Smoking is prohibited in all common areas, i.e., elevators, hallways, stairwells, lobbies, laundry room, storage areas, etc.

No roller-blading, rollerskating, walking on roller blades, or riding bicycles or scooters in any common areas in the building or along the front walkway.

Automobile repairs are not allowed in the garage or driveways.

Balconies

Balconies shall be kept orderly at all times. No laundry or storage on the balconies. No charcoal or gas grills on the balconies per order of the Town of Brookline. Only electric grills are acceptable.

Locker Rooms

No articles may be left outside the lockers. Fire laws in Brookline prohibit paint or other combustible materials being stored in the locker rooms.

Elevators

Do not hold elevators when picking up mail. When loading luggage or many parcels from the car, put all items in front of the elevator and then release the button. When moving furniture in and out, please notify the superintendent so that he can put up protective pads. If there is any damage to the elevator walls or the hallways, the person moving will be required to pay for repairs.

Bicycles

Bicycles are not allowed in the upper lobby. Bicycles must be brought in through the lower lobby entrance and stored in the bicycle room, in the racks in the garage area, or in units. All bicycles in the bicycle room must be labeled with owner's name and unit number.

Trash Rooms

Do not put garbage in the trash cans. Grind all garbage (including banana peels, other fruit, egg shells) in your apartment's disposal. Unused frozen foods also should be defrosted and then ground in the disposal. Bones, fruit pits, and other hard objects may be wrapped and placed in trash cans. Rinse out all cans and bottles before disposing of them in the recycle bins next to the dumpsters. Put all trash in sealed/closed plastic bags before placing in barrels. Newspapers should be placed in the recycle bins next to the dumpsters, not left in the trash room.

Laundry Room

With so many people using the machines, please be courteous. Do not soak laundry in the machines. Remove laundry from machines as soon as it is finished. Do not drag laundry baskets over the hallways or floors. Do not leave dirty laundry in the laundry room for long periods of time or it will be removed.

Pets

Pets of any kind are not allowed in the building. (BYLAW)

Unit Modifications

All unit modifications, such as new windows or any structural changes, must be approved by the Management Board. No work should begin early in the morning or run past the dinner hour, out of respect for other residents. If unit door handles are replaced, they should be as close as possible in design to the original levers.

Security

Do not buzz people into the building unless you know them personally. Do not leave entry doors open and unattended.

Roof

Access to the roof is not permitted.

Fire Safety

Doors at the end of the corridors are fire doors and should be kept closed. Please make sure your smoke detectors are in working order. If you are not sure, ask the superintendent to check them. If the alarms in the building go off, please do not use the elevators and descend to the lobby if possible.

Pass Keys

Unit residents shall provide the management with keys to their units and replace them when locks are changed. These keys shall be used only by the Managing Board or its agent and only in case of an emergency or as permitted by the Bylaws.

No Offensive Activity

No noxious or offensive activity shall be carried on in any unit or in the common areas and facilities, nor shall anything be done therein, either willfully or negligently, which may be or become an annoyance or nuisance to the other unit owners/residents. No unit owner/resident shall make or permit any disturbing noises by himself, his family, employees, agents, visitors, and licensees, nor do or permit anything to be done by such persons that will interfere with the rights, comforts, or convenience of other unit owners/residents.
